Registration is now open!
Determine the overall budget and the section's camp participant fees. Expenses include Food, Camp Fees, consumables, theme costume and site decoration costs, activity station materials)
Communicate camp information with section families, including a kit list
Collect fees from participants, register your section, pay the section registration fee.
If your section has a youth with special needs or mobility constraints that would prevent their attendance, please let the Registrar know during registration, so the Event Team can explore accommodations.
Email an approved copy of your section's AAF to the Registrar by May 15, one week before camp.
Collect and collate required medical forms in a sealed envelope, attach a paper copy of your AAF, and (if applicable) a list of late arrivals / early departures (with times), and submit the package to the Registrar at Check-in on Camporee Friday. See Section Registration Centre for details.
Consider registering enough Scouters so that a Scouter with under-confidence can be paired with a more experienced Scouter.
Develop an activity idea with your youth, submit your section's activity by April 5, get it approved by the Activity Coordinator, test it. Complete and submit your Activity's Trail Card (Venturer Companies have a different process)
Determine and submit your section's campfire song, skit, cheer, submit them on April 5. Practice them in a meeting before camp.
(Optional) Consider attending the Camporee Learning Session on April 26, especially if a Scouter hasn't attended before.
Review the Point System for Awards, so the section can decide how best to compete
Review all participants' food allergies and medical requirements
Develop a camp menu with section youth, and duty roster with youth or adults.
Prepare materials for camp costumes, tent and site decorations
Oversee completion of any screening requirements for non-members attending
Identify what section or Group equipment is needed for camp, and reserve or rent it. Although the Scout Reserve has several shared carts that can be borrowed, consider bringing a cart for your section to transport water cans and gear.
Schedule a time to check equipment and test stoves, lanterns
Hold a Scouter and/or section leadership team meeting to determine prep task assignments
Complete your section's Emergency Plan (if desired, using Camporee's supplied template), and get an Adventure Application Form (AAF) approved by your Group Commissioner.
Make sure your section's Emergency Contact / Home Contact (the person not at camp) has all the participant contact information they need in case you need them to act on the emergency process you have implemented with them
If you have time, dedicate a portion of a meeting to cover the following topics:
Remind families to bring required medication to camp in a ziplock bag with youth's full information inside, including schedule and dosage, and depending upon age, to hand over to Scouters.
Provide anticipatory guidance about the event to youth and adult participants to mitigate separation anxiety and homesickness.
Review the What to Pack page on the website, supplement with any desired additional items, and distribute a kit list to attending families. Emphasize key safety items:
a water bottle (filled)
their necker (this identifies your Group, helps with reunification)
sunscreen, sun hat and insect repellent
Remind families not to include food in youth's camping packs
(Optional) Remind families to have the youth pack their own bag. Go over first in, last out principle.
Having youth pack their own bag ensures that they know what is in their bag and where.
Provide any participants parents/guardians who will be parking their car at camp with a completed off-site parking pass - don't forget to add your Group's name and section to the form before distribution (by email). It should be placed on their dash when they park.
Ensure that all parents know your Group and section name, they will be asked upon entry to camp.
If possible, provide each family with a map that has their section name printed on it. Additionally you can highlight the place where your section is camping with an Image Editor (ex: Google Drawings, MS Paint, etc...)
Remind parents of camp rules and speed limits while at Apple Hill Scout Reserve.
Have families review the Arrival information page.
Share with families an arrival time range, after which at least two Scouters will be on site.
Educate your youth about:
Staying hydrated / how to recognize heat exhaustion
How to perform a personal Tick Check
what to do if they get lost at the event (look for someone they know, or an Event Team member wearing special Camporee T-Shirt, or ask a Scouter for help).
Review the Camp Rules, FAQs page, arrival/departure information, and schedule on the event website.
Print or Download onto mobile device (for offline use) the Camporee Safety Plan for Section Scouters (not available yet)
Print and bring a copy of the event site map and schedule for personal use.
In case of event changes or cancellation, the Camporee website will be updated. Check it periodically leading up to the event.
For Scouts (Troop) challenges, individual emergency plans will be posted on the website here.
These Items are commonly forgotten and are a good idea to bring with your section.
Extra water bottle and ditty bag. Someone may forget theirs.
Extra sleeping bags, extra tent. In case of loss/damage during the event.
Section Packing List
Similarly to youth packing lists, the following items are guidelines for suggested gear. Modify the list accordingly based on your section's equipment and the weather for the event.
Section cooking equipment, shelter, tents, tarps, ropes, gear, food, fuel, mantles, water canisters and anything else for your section
Many sites share a fire pit with an adjacent site. For the fire pit, a fire extinguisher and a shovel are required to be placed in a central location in front of the cooking area (a metal pail is also recommended).
Firewood is supplied by Camporee while supplies last. AHSR also allows for the scavenging of deadfall in the wooded areas. Bring a hatchet and safety cordon to set up a location to make kindling.
(Optional) a section FRS Radio, with either enough replacement batteries or portable recharging ability for entire event
Channel 3 will be used by the event team for emergency broadcasts to sections.
Channel 1 and Channel 2 are reserved for Event Team and Medical Team use.
Forms
Cell Service: Depending on your carrier, cell service may be spotty or not available in some areas of the Scout Reserve. This may hinder communication with parents. During emergencies, do not depend upon cell networks for contact and other key information. If your section has not printed out required forms, prior to the event ensure that at least one Scouter has downloaded all documents to a computing device that is readily available (and is accompanied by a portable recharging capability that lasts the entire event).
Within each section, a Scouter shall bring and carry the following:
Member Detail Forms (from MyScouts) for each member with emergency contact, medical and dietary information.
Physical Fitness Form for each non-member
Scouts Canada Individual Release and Hold Harmless Agreement for each non-member youth attending, except trial youth.
blank copies of the Incident Report Form, if you don’t already have them in your section’s first aid kit.
Consider when section gear will arrive relative to Scouters, youth, and length of setup time needed.
The first Scouter in your section to arrive must bring the section's medical package, and hand it over to the Registrar at the check-in table.
Plan for and schedule youth to arrive after at least 2 Scouters plan to arrive at camp.

In your campsite dining area, post a Camporee schedule, your section emergency plan, menu (recommended with cooking instructions), duty roster.
Consider having a place within your campsite layout for reduced sensory load.
All adult and youth participants in the section are to be briefed on the location of the section’s fire extinguisher, the location of the campsite's assembly areas and the signal to start the assembly drill.
A Section Scouter must record check-in of all youth
Section's primary First Aider is to collect youth medication (if applicable). When possible, medication is to travel with the section at all times during camp, in case of emergency evacuation. If medication is kept in a cooler, make sure cooler location is known by all Scouters. In an emergency evacuation, the cooler should be a priority item to evacuate with the section.
Inspect youth upon arrival for the wearing of required clothing and packed required camp items. If you can't make them safe with extras on hand, contact parents.
Potable water is available at Tracey's Gate (see Camp Maps).
Periodically advise participants to drink water (stay hydrated), and to apply or re-apply sunscreen.
Monitor youth for signs of heat exhaustion and sunburns.
Section head counts should be taken at the beginning of each activity. Have youth use the buddy system whenever leaving the campsite.
Have your section members wash or sanitize their hands before meals and snacks and after going to the bathroom. Sanitizer is provided in each kybo, but sections should have their own supply on site.
Food, garbage and recycling must be stored securely overnight by either:
transporting and placing coolers and waste receptacles in a vehicle in the parking lot
placing waste and recycling in secure containers, placing all food in coolers, and tightening a ratchet strap around each container and cooler.
Contact a member of the Event Team (in person or via FRS Radio Channel 1) if:
a member of your section has an injury requiring dedicated First Aiders and/or an Emergency Medical Response
your section loses a youth (see Lost Youth Emergency Response).
a member of your section sees a dangerous animal (other than Scouters without sufficient coffee)
a member of your section encounters an intruder
your section decides to depart the event early
your section has a participant that requires an emergency pickup of their child
Section equipment, including equipment for your section's activity station, must depart by 1pm Sunday (Leave No Trace).
Upon the conclusion of the Closing Ceremony, sections return to their campsite to pack up and leave
Before youth depart, remember to do a sweep of your section’s campsite with your youth after everything is packed up to make sure nothing is left behind and all garbage is picked up
A dumpster is available in the parking lot for garbage only. If the dumpster is already full, take your garbage home, do not place items beside the dumpster. Do not place recycling or compost in the dumpster.
Plan for someone to take home recycling, and to take compost home in a leak-proof container.
Participant departure takes place after Closing Ceremony (~10:45pm). Parents picking up children will not be allowed into the campground (on foot) until after Closing Ceremony ends.
Each section will be allowed 1 vehicle into the campground for equipment pickup starting Sunday at 11:30am. The gate opens at noon for unlimited vehicles.
Please remind everyone that there will be lots of traffic and people around, so to be extra careful
Scouters must maintain the Two-Scouter Rule, even when packing up camp or going to the parking lot with youth.
If a youth is not picked up within 1 hour after camp closing ceremonies (see schedule), approximately noon, activate the "Abandoned Youth" Emergency Response.
In the case of emergency evacuation, the Scouter-in-Charge of the section notifies the Event Leads when their last member has departed the event.
Remember that this is an annual, exciting, and very busy event for everyone. Keep an open mind and a positive attitude. Together we all aim to make this a comfortable and FUN event for everyone!
